Job Description and Qualifications

POSITION SUMMARY
Provide document control / supplier data management service as part of the Air Products regional Document Control Team, supporting one of the world’s largest Green Hydrogen facilities to be built in the Kingdom of Saudi Arabia.  Ensuring competitiveness, successful project execution and productive internal and external interface.
Deliver and execute/implement document control plans and procedures, in compliance to the Air Products Standards to suit the project execution strategy and needs from both internal and external aspect. Provide accurate and timely document control / supplier data management input to the project execution team and work within the project applicable procedures and process workflows.
To fulfil the requirements of the position the incumbent must develop collaborative working relationships with Global Engineering, Manufacturing, Technology & Equipment (GEMTE) team members, along strong business leadership with all internal functions.

As Document Controller, you will:

  • Report directly to the GHE Document Control Manager (DCM) and indirectly to EMEA Project Controls Manager (PCM) and provide DC supports to the Lead/Sr. DC.
  • Ensure that all GHE documentation are processed in accordance to AP’s approved project procedures and work processes. This includes – AP Developed (Engineering) Documents, Vendor/Supplier Documents, 3rd Party/Contractor Documents (including Sub-Contractor documentation) and “official” project correspondences.
  • Provide DC supports to the day-to-day Document Control activities of the project and able to provide help/assistance and guidance to the project team members for any document control inquiries.
  • Be motivated to help achieve an industry leading regional project Document Control / Supplier Data Management team responsible for all project execution/engineering/vendor documentation for projects executed in the region, between both internal and external parties, in accordance to approved AP work instructions or project specific requirements in the project contract.
  • Undertake daily monitoring of the project Electronic Document Management System (EDMS) – e.g. OpenText and Aconex (including SharePoint)
  • Liaising with the project team, project management and site construction team daily.
  • Provide support and guidance to the Project Execution and Engineering Teams on the status of project document review/approvals, and overdue documentation.
  • Support the client and external vendors with the Air Products Document Management system tool and work process support as required.
  • Organize and maintain the project Master Document Register.

Minimum Requirements and Qualifications

  • Minimum 5 years’ Document Control experience in large scale projects. Sound knowledge, and proven skills and competencies in application of Document Control / Supplier Data Management principles, methodologies and tools, supporting all phases of project execution, within a large project-oriented EPC or Owner Organization.

Experience within an Oil & Gas, Chemical processing or related business and equivalent projects a further benefit.

  • Global Project Document Control Experience: Proven skills and experience of document control / supplier data management for projects on global basis, supporting projects executed by multiple engineering offices.
  • Flexibility to work additional/extended hours to meet project deadlines especially during periods of peak workload will also be required.
  • Determined, adaptable and resilientThe candidate should be self-motivated, diligent and accurate, able to work under pressure to meet project demands, and able to respond with urgency to solve problems as they emerge.
  • Culturally astute. Experience and ability to work with different cultures associated with multi-region project execution, and to therefore achieve success with a multi-cultural team.  Experience of Customer and external stakeholder regional cultures, and ability to achieve success with those cultures
  • Relationship network. Established and proven internal relationships with key individuals in all teams in all regions, with the ability to build strong relationships to apply leverage to execute the project.
  • Core competencies:  Detailed working knowledge of project document management tools and systems.  Proven skills in document management coupled with strong teamwork skills and a broad knowledge of project execution / engineering organization structure and roles.

As Document Controller, you will have:

  • Strong working knowledge of OpenText, Aconex, MS SharePoint is desirable.
  • Strong or excellent reporting skills
  • Strong Document Control background covering the complete document life cycle at different stages/phases of the project
  • Ability to work within an established team to achieve targets and goals.
  • Strong organizational and time management skills.
  • Excellent knowledge and proficiency with the Microsoft office suite (Advance Excel, Word, PowerPoint, One Note) and Adobe Acrobat tools. MS Access knowledge is an advantage.
  • Excellent communication skills on both oral and written (English proficiency) is a must.
